Digitalizing maintenance: start with useful data, not more screens

Prepare inventories, work orders and indicators so a digital tool supports decisions and preserves each asset's technical context.

The inventory is the first tool

If one asset appears under three names, its failures and costs are scattered across incomparable records. Assign a stable identifier and connect location, function, reference and documents. Preserve history when a part changes; do not confuse asset identity with a replaceable component.

Record to decide

  • Separate the original request from the confirmed diagnosis.
  • Record start, closure and the definition of repair time.
  • Use consistent, reviewable failure categories.
  • Assign an owner and status to every open action.

The form should capture what is needed to reconstruct work and make a decision. A photograph without context, an alarm without an owner or a required field always filled with 'other' are signals to review record design.

Give indicators meaning

Before comparing MTBF or MTTR, define the window, included assets and what failure and repair mean. A classification change can move the indicator without improving equipment. Store the criteria with the result so another person can repeat the calculation.

Test a cycle before scaling

Start with one asset family and a review process. Check that orders can be found, owners receive findings and decisions are recorded. Scale when that chain works. The goal is protecting operations with useful information, not filling a dashboard with charts.
